Studio OS · virtual assistant

A virtual assistant that knows your whole business

This virtual assistant is not a person. It is a team of AI agents: Kairi prepares email replies and quotes, Madis keeps projects moving, Liisa prepares invoices and Sven gives you the overview. You approve what leaves the company.

Better service

What do you actually want from an assistant?

If you are looking for a virtual assistant, a remote assistant or a secretarial service, you mostly want one thing: for work to stop waiting on you. The email gets answered, the quote goes out, the invoice is issued and someone notices when a client has gone quiet.

A human assistant does this well once they have learned your business and you have explained the background. In Studio OS the background is already there: a client’s emails, notes, quotes, projects and invoices sit in one place, and the agent reads them before preparing the work.

So a task does not start with you explaining it. You review the result, then approve it or ask for a change.

Meet the agents

What makes this service different?

01

No need to explain the background

When replying to an email, Kairi sees the whole client relationship: earlier emails, notes, quotes and projects. What you say once stays on record.

02

Work starts when the email arrives

Once you let the agents work in the background, Kairi normally reviews a client’s email within 10–15 minutes and prepares a reply. Evenings and weekends too.

03

Several roles, one history

Sales, projects, invoices and research are separate agents’ work. A won quote becomes a project and a project becomes an invoice, and the information travels with it.

04

All visible, all your decision

Every outgoing email, invoice and commitment waits for your approval by default. You see what the agent did and why.

How do you start?

There are no forms to fill in. The work starts with a conversation.

  1. 1

    Tell Sven about your company

In your first conversations Sven asks what you do and how work reaches you. Later he also asks whether the agents may work in the background.

  2. 2

Forward your email to the workspace

Every workspace has its own address. Set up automatic forwarding from your mailbox and client emails reach Studio OS.

  3. 3

    Hand over the first task

Write as you would to an assistant: "Reply to this client" or "Every Monday, give me an overview of unpaid invoices". You approve the result with one click.

What can you hand over?

  • Email: replies to clients that wait for your approval before sending, written in the client’s language: English, Estonian or Russian.
  • Quotes and follow-up: a quote from your price list and a note when a client has not replied.
  • Calendar: meetings, times and preparation before a meeting.
  • Projects and tasks: phases, deadlines, owners and an honest status.
  • Invoices and costs: invoice preparation, tracking payments, purchase invoices and receipts.
  • Research and documents: Ralf looks things up on the web and the agents find what they need in your company documents.
  • Recurring work: say once what to do and when, and the agent does it on schedule.
  • Social media and newsletters: you can ask for Tõnis, the marketing agent, to be added. He prepares posts, images and newsletters for you to approve.

When is a person the better choice?

We would rather tell you now, because good service starts with the right choice.

Phone calls

The agents do not call clients or suppliers for you.

Errands and on-site work

Gifts, office supplies and arranging events in person stay with a person.

Work inside your other systems

Running your website or online store stays with a person.

Design

Canva work, print and advertising materials stay with a person.

Inbox cleanup

The agents do not read a Google mailbox themselves. They see the emails you forward to Studio OS.

Client contact entirely without you

If you want someone to answer clients without you reviewing anything, a person is the better choice today.

Frequently asked questions about virtual assistants

Is this virtual assistant a person?

No. Studio OS is a team of AI agents whose work you review. People at Hiiu Studio help you start and answer questions, but the agents do the everyday work.

What can a virtual assistant do for a small business?

In Studio OS it prepares replies to client emails, quotes and invoices, keeps an eye on your calendar, projects and unpaid invoices, looks up information and does recurring work on schedule. It does not make phone calls or do design.

Will it send email without my permission?

No. Every outgoing email, invoice and commitment waits for your approval by default. You can also edit an email before it goes.

Do I have to set anything up?

Not for the first task. A trial workspace is ready in minutes and Sven asks for what he needs to know. For automatic email review, you add forwarding in your mailbox.

Is there a limit on hours?

No. Studio Solo is €199 per month and does not depend on hours. Its limit is one user. If you need more logins, Studio Business is €349 per month.

Can I get an accountant too?

Liisa prepares invoices and books purchases, but an accountant remains responsible for the accounts. If you do not have one, we can refer you to a vetted partner. The partner delivers the service and invoices you, and the referral is free. The partner also offers payroll, annual reports, financial advice and a part-time finance director.

Does it work outside Estonia, or for e-residents?

The workspace runs in English or Estonian and can be used from anywhere, which suits e-residents. The accounting connections (Merit, SimplBooks, SmartAccounts) and the tax rules for purchase invoices are built for Estonian companies.
